Workshop Administrator and Production Controller

All our diamonds are certified and conflict-free.

The Role
We are seeking an experienced Workshop Administrator and Production Controller to join our busy Birmingham Operations Department, with a yearly salary of up to £29,000 depending on experience. The ideal candidate will have a minimum of three years’ experience in roles involving administration and production control within a jewellery workshop environment. The Workshop Administrator and Production Controller plays a critical role in ensuring the smooth running of workshop operations, with particular responsibility for overseeing urgent repair and bespoke jobs. You will ensure all priority pieces are correctly assessed, efficiently scheduled, and completed to the highest standard within strict turnaround times.
A key aspect of the role is actively managing and updating the administrative workflow of repair jobs as they move through each stage of the workshop process. This includes accurately recording job status changes, maintaining up-to-date tracking systems, and ensuring all relevant documentation is correctly completed and accessible to production staff. Strong attention to detail and excellent administrative skills are essential to maintain visibility of each job’s progress and to support effective communication across the workshop.
You will be responsible for identifying potential delays early, coordinating with relevant team members, and ensuring that production schedules remain on track. The ability to manage multiple jobs simultaneously while maintaining accurate records and clear communication is essential to maintaining both workflow efficiency and exceptional quality standards.
Responsibilities
Your responsibilities as an Workshop Administrator and Production Controller for the Operational Department at Neve Jewels will include, but not be limited to:
- Tracking and assigning repair and bespoke jewellery jobs through all workshop stages.
- Maintaining accurate, real-time updates of job status across internal systems.
- Monitoring workflow progress and ensuring full visibility of all active jobs.
- Updating job location, records, and production schedules with accuracy and consistency.
- Clearly document any defects, inconsistencies, or substandard workmanship, including issues in repairs or resizing concluded by the Quality Controllers.
- Work closely with the workshop team to provide constructive feedback and support continuous improvement in craftsmanship.
- Identifying and escalating delays or issues affecting production timelines.
- Coordinating with workshop members to prioritise urgent work and maintain efficient flow.
- Managing multiple jobs simultaneously in a fast-paced workshop environment.
- Consistently meet daily documentation targets while maintaining uncompromising attention to detail.
Qualifications, Skills & Experience
- A minimum of 3 years of experience in Administration, Production Control, Jewellery Manufacturing, or similar.
- Clear and confident communication skills, both written and verbal.
- Proactive mindset with the ability to take initiative and adapt to changing priorities.
- Strong organisational and time management skills, with the ability to work under pressure and prioritise tasks to meet deadlines.
- A collaborative approach, working effectively as part of a team.
- Proficiency in using Apple iMac computers.
- Advanced Excel skills, including data entry, formula creation, pivot tables, and data analysis.
- Strong ability to manage and interpret large datasets for reporting and tracking purposes.
