Administrative Assistant | Outstanding Secondary Academy...
The Opportunity
Birmingham is a city of relentless transformation and a global leader in professional services and digital infrastructure. We are seeking a highly organized, proactive, and professional Administrative Assistant to join the core operations team of an Ofsted-rated 'Outstanding' secondary academy . In this role, you will be the engine room of the school's daily functions, providing the essential operational support that allows teachers to teach and students to excel in one of the UK’s most dynamic urban environments.
The Department & Operational Culture
You will join a dedicated and high-performing administrative suite that serves as the primary interface for students, parents, and external partners.
The academy prides itself on "operational excellence," utilizing sophisticated management information systems (MIS) to ensure seamless school-wide communication.
As an "Outstanding" setting, we maintain a professional, corporate environment that values efficiency, discretion, and a high standard of presentation in all written and verbal outputs.
We foster a collaborative staff culture where the administrative team is fully integrated into the school’s mission of academic and social excellence.
Core Responsibilities
Front-of-House Excellence: Providing a professional welcome to visitors, managing the main reception area, and acting as a first point of contact for telephone and email inquiries.
Data Management: Utilizing school systems (such as SIMS, Bromcom, or Arbor) to maintain accurate student records, attendance data, and reporting cycles with absolute precision.
Communications Leadership: Drafting and distributing high-quality correspondence to parents and stakeholders, ensuring all messaging aligns with the academy’s professional branding.
Logistical Support: Coordinating school events, parents' evenings, and admissions processes, ensuring all administrative prerequisites are met ahead of schedule.
Resource Management: Supporting senior leadership with diary management, filing systems, and the procurement of essential school supplies to ensure a frictionless learning environment.
The Successful Candidate We are looking for a professional who thrives in a fast-paced environment and understands that exceptional administration is the foundation of a successful school. Requirements include:
Proven Experience: Significant experience in an administrative or secretarial role, preferably within an educational or high-volume corporate setting.
Technical Proficiency: Expert-level command of Microsoft Office Suite (Word, Excel, Outlook) and a demonstrated ability to learn complex database systems quickly.
Communication Skills: Exceptional verbal and written English, with the ability to handle sensitive information with total confidentiality and tact.
Organizational Flair: A self-starter who can prioritize a diverse workload under pressure while maintaining an impeccable eye for detail.
Why Join Us?
The chance to work in an "Outstanding" environment where the administrative staff are respected as vital professionals within the school community.
Access to structured professional development and training on specialized educational software and school business management.
The opportunity to work in Birmingham—a city offering world-class amenities, diverse neighbourhoods, and a central role in the UK’s economic future.
A stable and prestigious professional environment that values innovation, reliability, and the holistic support of the academy’s mission.
