Executive Assistant to CEO
About School of Coding & AI
Established in 2017, School of Coding & AI is one of the UK’s leading providers of Coding, Computer Science and Artificial Intelligence education.
We work with schools, colleges, employers and Higher Education partners, delivering career focused programmes that help learners develop practical skills for the future of technology, business and innovation.
As we have grown, we have also expanded into Higher Education, partnering with universities to deliver courses in Business Management, Health and Social Care, and Computer Science. These programmes give students a more flexible route into higher level study, particularly those balancing work or other commitments, while helping them build skills and qualifications that support their future employability.
We are now looking for a highly organised, proactive Personal Assistant / Executive Assistant to support our CEO in a fast paced and growing organisation.
About the role
This is a high trust, high responsibility role supporting the CEO in a fast paced and growing organisation.
You will act as a trusted right hand, helping to manage priorities, protect time, maintain momentum and ensure the CEO is fully prepared and focused on the areas that matter most. This is not a purely administrative role. It requires strong judgement, discretion, attention to detail and the ability to anticipate needs and challenges before they arise.
You will be operating at the centre of a busy leadership environment, managing competing demands, handling sensitive matters and bringing structure to a fast moving day.
This role will suit an experienced PA or EA who takes pride in high level executive support and is comfortable working closely with senior leadership in a demanding environment.
Key responsibilities
You will:
- Manage the CEO’s professional and personal diary, ensuring time is prioritised effectively and aligned to business needs
- Act as a key point of contact between the CEO and internal teams, external partners and stakeholders
- Coordinate meetings, briefings and leadership sessions, ensuring the CEO is well prepared with the right information in advance
- Anticipate scheduling conflicts, pressure points and logistical issues, resolving them before they become problems
- Book and manage UK and international travel, including flights, accommodation, transport and detailed itineraries
- Prepare documents, presentations, emails and meeting materials to a high standard
- Track actions, deadlines and follow ups, ensuring commitments are progressed and nothing important is missed
- Support the smooth running of leadership meetings, off sites and key internal events
- Maintain highly organised digital and physical filing systems
- Handle confidential and sensitive information with professionalism, maturity and discretion
- Provide dependable day to day executive support that enables the CEO to operate efficiently and effectively
Requirements
What we are looking for
You are highly organised, calm under pressure and confident working at senior leadership level. You are not just reactive, you think ahead, spot risks early and take ownership of getting things done.
You will be someone who enjoys creating order, protecting executive focus and operating in a role where trust, judgement and reliability are critical.
Essential:
- Proven experience as a Personal Assistant or Executive Assistant supporting a CEO, Director or other senior executive
- Experience working in a fast paced, high pressure environment with constantly shifting priorities
- Strong diary management experience, including handling multiple demands and making sound decisions around prioritisation
- Ability to anticipate issues, think ahead and solve problems with minimal supervision
- Excellent written and verbal communication skills
- Exceptional organisation skills and attention to detail
- High level of discretion and professionalism when handling confidential matters
- Strong working knowledge of Google Workspace, including Docs, Sheets, Slides and Calendar
- Right to work in the UK
Desirable
- Experience supporting senior leaders in a growing, entrepreneurial or changing organisation
- Experience in education, Higher Education, training or another complex stakeholder environment
- Confidence working with a wide range of senior internal and external stakeholders
