• Preparation of work – removal of documents from envelopes and of all types of bindings, eg staples, paper clips, treasury tags, wallets etc and insertion of “header sheets” to enable the work to be scanned

• Re-preparation of work – removal of the “header sheets” and inserting the original/appropriate bindings

• Scanning – operation of high capacity scanners using VRS technology

• Quality control – ensuring that all scanned images are clear, readable and correctly rotated and no pages are missing

• Saving PDFs to the document management system/cd/send by email

• Printing – all types of printing including printing from MS Word, Excel, Powerpoint, PDF
outputting to Print Production engines, MFDs and plan copier

• Working with PDFs (including applying pagination to one PDF or across multiple PDFs)


• CD burning and encryption, including copying CDs, saving files to CD from email/document management system

• Logging work in/out using MS Word and Excel

  • Operation of the following equipment:


• Binding units (wire, spiral)

• Laminator

• MFDs and print production engine

• CD copier/encryption

• High production scanners

• Liaison and communication with internal clients with regard to completion times and dealing with any subsequent queries
Person specification

Technical skills

• Must have good hand on experience with a digital mailroom environment.

• E x cellent IT skills, with a good understanding of all Microsoft Office products (Outlook, Word, Excel, Powerpoint etc) and also have knowledge of Kofax capture 10.1

• An understanding of document management systems would also be beneficial.

• Ability to operate and understand a variety of print room machinery, including scanners and printers

• Ability to work on own initiative whilst maintaining a positive team spirit at all times

• Good organisational skills, with the ability to multi-task

• Work well under pressure and be able to work to tight deadlines, whilst remaining calm and professional

• A proactive, professional and flexible approach to work

• Able to adopt a common sense approach with attention to detail

• Keen to develop over a period of time with a willingness and ability to learn
